Microsoft Access

Store and manage structured databases.

1Database Basics

Microsoft Access is a database program. Unlike a spreadsheet, a database stores large amounts of related information in organized tables and makes it easy to search and connect that data.

2Tables, Records & Fields

Data lives in tables. Each row is a record (one complete entry, like one student) and each column is a field (one piece of info, like 'Last Name'). Fields have data types such as Text, Number, or Date.

3Primary Keys & Relationships

A primary key is a field that uniquely identifies each record (like a Student ID). Relationships link tables together using these keys, avoiding duplicate data.

4Queries

A query asks a question of your data — for example, 'show all students in Year 2'. Queries filter and retrieve exactly the records you need from one or more tables.

5Forms & Reports

Forms give a friendly screen for entering and editing data. Reports format data neatly for printing or presenting, such as a summary of all enrolled students.
